Guidelines for Hosting International and Mainland Chinese Visitors

1. Definition of International Visitors

Visitors or groups from academic institutions in international and Mainland China regions who come to our university for short-term academic collaboration and visits.

2.Principles of Reception and Division of Responsibilities

Hosting international visitors requires the allocation of the university’s resources, which are limited. Therefore, decisions regarding whether to provide reception services must be made with careful consideration. The evaluation criteria include whether the visit is based on mutual interests and whether it contributes to promoting substantive bilateral cooperation and strengthening sister school relationships in the future. Additionally, for practical operational reasons, priority will be given to reception in the following circumstances:

  1. There is a concrete possibility of collaboration.
  2. The visitor is from a sister school officially partnered with our university.
  3. The notification of the visit is provided at least five (5) working days prior to the scheduled arrival.

The initial receiving office within the university shall conduct internal consultations based on the following principles to determine the responsible unit.

  1. If the visitor is not a student, the responsible unit will be determined according to the main purpose of the visit:

(1)If the visitor is from an administrative background.:

a.Visits from cross-administrative units or top-level executives such as the university president or vice presidents shall be handled by the Office of International Affairs.
b. Visits from top-level administrators of offices such as Academic Affairs, Student Affairs, General Affairs, and Research and Development shall be assessed and handled by the respective units themselves.

(2)If the visitors are academic in nature::

a. Visits from a single department or related academic fields shall be hosted by the corresponding department.
b. Visits from a single college or from multiple departments within the same college shall be hosted by the corresponding college.
c. Visits spanning multiple colleges shall be managed by the Office of International Affairs, which will coordinate with the relevant colleges and departments for reception arrangements.

★If the visiting group consists of individuals with different roles or has special purposes, the hosting unit shall coordinate arrangements accordingly.For cases proposed by various units to be referred to the Office of International Affairs for university-level reception, please notify the Office of International Affairs at least two weeks prior to confirming the reception with the visiting party. Upon evaluation and approval, the Office of International Affairs will handle the coordination of reception arrangements.
