Visiting Scholar Application Procedures for Departments

【Application Procedure】

Step 1:The hosting unit shall review and approve the application, attaching Visiting Scholar Information Form (and related documents). The application will then be processed in coordination with Office of International Affairs, Office of General Affairs, and Library and Information Center to assist the scholar with arrangements such as campus housing application, library card issuance, email account setup, dormitory IP registration, and campus Wi-Fi access. Finally, the application will be submitted to the university president for final approval.
Step 2:Office of International Affairs will issue the payment invoice based on the arrival and departure dates indicated in the Visiting Scholar Information Form.
*If there are any changes to the visiting scholar’s arrival or departure dates after the approval of the application, please notify the Office of International Affairs directly via email (#5109 / ice@gms.ndhu.edu.tw).
Step 3:Visiting scholars must complete the check-in procedures upon arrival and proceed to the university cashier’s office with the payment slip to complete the payment.*The host unit is not permitted to handle the payment on behalf of the visiting scholar.
Step 4:Visiting scholars must complete the departure procedures in the proper order when leaving the university.*The hosting unit may assist in handling the procedures on behalf of the visiting scholar.

【Visa

1. For individuals from Mainland China:Please refer to University’s application procedure for inviting Mainland Chinese nationals to enter Taiwan

2. For foreign nationals:Please refer to the website of  the Bureau of Consular Affairs, Ministry of Foreign AffairsPlease bring proof of purpose for your visit to Taiwan, a valid passport with at least six months remaining, two 2-inch photos, and a completed visa application form (downloadable from the Ministry of Foreign Affairs website) to the nearest Taiwanese embassy or consulate to apply for a visa. Visitor visas are typically granted for stays ranging from 7 to 90 days, with a maximum extension up to 180 days (6 months). If your stay in Taiwan exceeds six months, you are required to apply for a residence visa.

For matters regarding the appointment of visiting professors, please contact the Personnel Office at our university.

【Accommodation】

hort-term visiting researchers may apply directly to Property Management Division of the Office of General Affairs at National Dong Hwa University for dormitory accommodation, in accordance with the university’s regulations on short-term dormitory use and management .

Eligible Applicants: Visiting scholars, guest professors, writers-in-residence, and postdoctoral researchers affiliated with the university. Accommodation fees will be charged according to the established regulations.

【Sports Facilities】

Swimming Permit: Applicants must submit a copy of their appointment letter or invitation letter, along with one recent one-inch photo without a hat. Please download the application form. The issuance and fee standards for the permit will be determined by the University Sports Center, which may apply faculty/staff rates if appropriate.

【Library Card、Dormitory Internet Access IP、University Email Account】

Library Card: Please submit a copy of the appointment letter or invitation letter, one recent 1-inch photo without a hat, and the completed application form. The application must be signed and stamped by the supervisor of the inviting unit or the project principal investigator before submitting it to the University Library and Information Center for processing.

For dormitory IP and campus email account applications, please directly contact the University Library and Information Center for assistance.

【Safety Concerns】

If the visitor proactively requests to come to our university and the hosting unit is not familiar with the invitee, we kindly ask your unit to thoroughly evaluate the visitor’s background or request an official recommendation letter from the visitor’s school or department supervisor. This will provide greater assurance and security for the hosting unit.
